Dear CDISC-TMF Reference Model Community Volunteers,

The TMF Reference Model will be going through changes (details coming in the fall), and the Change Control Board (CCB) is excited to announce an upcoming Zone Team Refresh!

We are looking for Zone Team Members as well as 2 Zone Team Leads – please complete the survey at the end of this email by 6th September 2024. Read the refresh details below before responding.

We are embarking on a project to refresh the CDISC-TMF Reference Model – details to be announced at the September General Meeting. We anticipate an influx of change requests, and we want to ensure we are fully prepared. Part of that preparation includes solidifying our Zone Teams and defining active participation.

We are looking for volunteers for all Zone Teams, and we are looking for new Zone Team Leads for Zones 5 (Site Management) and 6 (IP & Trial Supplies). We want volunteers who are committed to making the Reference Model better and who are able to be active, participating members of the team (see below for renewed expectations).

On our journey for the RM to become a standard, now is the time for us to tighten the reins and enact better defined – or more robust – expectations and responsibilities for our TMF Community Leaders.

      New Zone Team Expectations:
Monthly JIRA check-in to identify new change requests (Leads)
CCB Member assigned to each Zone Team
To advise, assist with JIRA, and raise questions to the CCB
Periodic meetings/discussions with Zones (at least quarterly)
Members need to commit to active participation
Active = meeting/discussion participation at least 60% of the time
Members to have experience with Zone documentation
For example, if you are interested in Zone 11 (Statistics) you must have a working understanding of statistical documentation
Reference Model Zones are not the place to sit quiet and learn; members are expected to voice their opinions, questions, or concerns
Member list will be routinely assessed (by the Leads)
Zone Membership will be capped at 12
Preference: Zone Team Leads are not also members of the Steering Committee or CCB (can be members)
6-10 hour time commitment on a quarterly basis

Membership will be 1st come, 1st served; once a Zone hits 12 appropriate volunteers, it will be capped. Additional volunteers will be asked to pick an available zone or be added to a back-up list. Zone Team membership will be periodically reviewed by the Leads, and back-ups may be contacted if replacement members are needed.

Survey for Zone Teams and Zone Leads

Thank you for your attention and your continued support. Please let us know if you have any questions.

      Take care,

      Leila Canlas & Kate Santoro
      CCB Co-Chairs
